We are seeking a highly motivated and experienced Event Planner to join our dynamic team in Basel. This role is crucial for orchestrating a variety of international events, ranging from scientific conferences and corporate meetings to internal workshops and stakeholder engagement initiatives. The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and a proven track record in managing complex events with diverse international attendees. You will be responsible for the end-to-end planning and execution of events, ensuring they align with company objectives and uphold Novartis’s reputation for excellence.
Hauptverantwortlichkeiten
- Manage the full lifecycle of international events, including concept development, budget management, vendor negotiation, logistical coordination, and on-site execution.
- Develop detailed event proposals, timelines, and budgets, securing necessary approvals.
- Source and manage relationships with external vendors (venues, catering, AV, accommodation, transportation) and internal stakeholders.
- Coordinate speaker management, attendee registration, and communication strategies.
- Oversee event marketing and promotional activities in collaboration with communications teams.
- Ensure all events comply with company policies, legal requirements, and industry standards, particularly in the pharmaceutical sector.
- Conduct post-event evaluations, gather feedback, and analyze event performance to identify areas for improvement.
- Manage event-related documentation, permits, and insurance requirements.
- Provide on-site management and support for all events, ensuring smooth operations and problem resolution.
- Prepare comprehensive reports on event outcomes and ROI.
Erforderliche Fähigkeiten
- Minimum of 3 years of experience in international event planning and management.
- Proven ability to manage budgets, negotiate contracts, and oversee multiple projects simultaneously.
- Excellent communication and interpersonal skills, capable of interacting effectively with diverse cultures and senior leadership.
- Strong organizational skills and meticulous attention to detail.
- Proficiency in event management software and Microsoft Office Suite (Excel, PowerPoint, Word).
- Fluency in English (written and spoken) is essential.
- Demonstrated problem-solving abilities and composure under pressure.
Bevorzugte Qualifikationen
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field.
- Experience planning events within the pharmaceutical or healthcare industry.
- Knowledge of an additional major European language (e.g., German, French, Italian).
- Certification in event planning (e.g., CMP, CSEP).
