Stellenbeschreibung

We are seeking a proactive and detail-oriented Facilities Coordinator to join our team in Graz. This role is crucial for ensuring the smooth and efficient operation of our office environment, supporting our English-speaking staff and international visitors. You will be responsible for a variety of tasks aimed at maintaining a high-quality, safe, and productive workplace. The ideal candidate will possess excellent organizational skills, a strong service-oriented mindset, and the ability to communicate effectively in English. This is an on-site position vital to the daily functionality of our dynamic office.

Hauptverantwortlichkeiten

  • Coordinate and oversee all facility maintenance activities, including repairs, cleaning, and inspections.
  • Manage vendor relationships for services such as catering, security, landscaping, and waste management.
  • Ensure compliance with health, safety, and environmental regulations.
  • Assist in space planning and office reconfigurations.
  • Process work orders and service requests efficiently and effectively.
  • Manage office supplies inventory and procurement.
  • Support event setup and breakdown within the facility.
  • Act as the primary point of contact for all facility-related inquiries from English-speaking staff.
  • Prepare reports on facility usage, maintenance costs, and service performance.
  • Coordinate access control and security protocols for visitors and new hires.

Erforderliche Fähigkeiten

  • Proficiency in English (written and spoken).
  • Proven experience in a facilities coordination or administrative support role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Basic knowledge of health and safety standards.
  • Problem-solving attitude and attention to detail.

  • Experience with a Computerized Maintenance Management System (CMMS).
  • Knowledge of local Austrian regulations regarding building management and safety.
