Stellenbeschreibung

We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team in Lausanne. This role offers the unique benefit of flexible office hours, allowing for a better work-life balance while supporting the daily operations of our department. The ideal candidate will be a meticulous planner, an excellent communicator, and proficient in office management, contributing significantly to our team’s efficiency and success. This is an on-site position based in our modern Lausanne office.

Hauptverantwortlichkeiten

  • Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
  • Handle incoming and outgoing communications, including phone calls, emails, and postal mail.
  • Maintain a comprehensive filing system, both physical and digital.
  • Process expenses and invoices, ensuring accurate record-keeping.
  • Assist in the preparation of reports and presentations.
  • Coordinate office supplies and equipment maintenance.
  • Support various departmental projects and initiatives as needed.
  • Act as a point of contact for internal and external stakeholders.

Erforderliche Fähigkeiten

  • Proven experience as an Administrative Assistant, Office Manager, or similar role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent time management and organizational skills.
  • Exceptional verbal and written communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to prioritize tasks and work independently.
  • Professional demeanor and discretion.

  • Familiarity with office management systems and procedures.

  • Proficiency in French and/or German in addition to English.
